Qualifications

Provide assistance to Cocoa Traffic Manager in traking all relevant information for contacts, support of execution of contracts and sample orders, performing proper accounting transactions, organizing logistics, ensuring that all amendments are recorded in order to report accurate monthly commodity/venture results impacting monthly Profits & Losses of the commodity, always giving a keen attention to exactitude and abiding to corporate reporting and accounting procedures.
**Essential Duties & Responsibilities: *Execution Operations -Consult throughout the day with traffic manager, for any urgent matter arising regarding customer contracts, purchase contracts, vessel arrivals or departures, cargo loading or unloading, port issues, warehouse requirements and documentation of any sort.

-Stay fully informed, through a constant dialogue with customs brokers, vessel agents, shippers, national or international and other industry contacts, of up to date logistics news that may impact one way or another the proper execution/ delivery to the contracts/ merchandise to the customer or to the company's proprietary inventory.

-Based on confirmed purchases entered in the company system (NTS), ensure timely receipts and review the origination documents (Cert. of Origin, Bill of Lading, Invoices, Weight Cert., etc.) for compatibility with entered contract (origin, grades and quality, quantities, insurance coverages, bill of Lading date, payment terms and amounts, etc.).

-Forward orginals and/or copies as required to customs agents, banks and vendor, of Cert. of Origin, Bill of Lading, Invoices, Weight Cert., etc.

-Enter vouchers in company's informations system for payments of vendors' invoices (two step process, 98% then 2%) based on weight certificates.

-Notify assistant treasurer (Fin. Dept) every morning in writing, with supporting details and documentation of amounts of any payments to be made that day.

-Confirm by e-mail or fax payments to vendors or service providers that are executed that day.

-Foreign Exchange: confirm spot purchases of GBP to be entered on vouchers and issue instructions to Finance Dept. (Treasury assistant) for payment of USD against purchases of spot GBP. Confirm payment instructions for spot currencies to vendors and follow-up proper date valeu of payment/receipt.

-Prior to imminent arrival of any cocoa shipment to a port of delivery, send customs documents to customs broker.

-On arrival of merchandise at port of delivery, send customs documents to customs broker.

-On arrival of merchandise at port of delivery, ensure receipts of FDA and Customs Notices for confirmation of the goods are released or detained and obtain inbound weight certificates.

-Once goods confirmed

Responsibilities

To perform this job successfully, incumbent must be able to execute each duty satisfactorily. The requirements listed below are representative of knowledge, skills and/or abilities needed.
*Education and/or Experience -Bachelor's degree in administration, accounting or related field, or equivalent four years of related experience and or training; or equivalent combination of education and experience. *Language Skills Ability to read and interpret general business documents(invoices, letter of credit, purchase orders, etc.) procedure manuals or governmental regulations. Ability to write reports, business and professional correspondence. Ability to effectively present information and respond to questions from a wide variety of managers, business partners. Multilingual proficiency highly recommended, mastering another language other than English is preferable, ie Spanish and French

-Mathematical Skills Ability to calculate and understand figures and operations such as discounts, compounded interests, variances, proportions, percentages, volumes, etc., capable of interpreting commodity industry graphics.

*Other Skills Typing 45 w/m preferable, 10 key general office equipment.

Computer and Software: Dexterous in a number of Desktop applications), become proficient in use of in-house systems (NTS, Prophet X, LotusNotes, etc.)
